The Maintenance Coordinator ensures the timely and efficient scheduling of maintenance work orders, unit turns, and preventative maintenance to support high-quality property operations. This role is critical in maximizing technician productivity, enhancing vendor relationships, and ensuring a seamless resident experience. This role is ideal for someone who thrives in a fast-paced environment, is highly organized, and takes pride in making homes safe, functional, and well cared for. Your attention to detail and proactive approach will directly support resident satisfaction and the overall success of our team.
Your Responsibilities as a Maintenance Coordinator:
Efficient Work Order Scheduling & Completion: You’ll be responsible for ensuring maintenance requests are scheduled and completed in a timely and organized manner. This includes managing incoming work orders, prioritizing tasks, and coordinating with technicians to ensure follow-through. You’ll also work to reduce backlogs and improve internal completion rates by maximizing use of in-house resources.
Timely Unit Turnovers: You’ll oversee the turnover process to ensure units are made ready for new residents. You’ll coordinate maintenance and cleaning tasks, confirm availability dates, and schedule work in a way that optimizes time and resources. Your goal is to minimize vacancy time and ensure a smooth transition between residents.
Vendor & Technician Coordination: You’ll manage relationships and communication with vendors and technicians to keep projects on track. This includes reviewing invoices, ensuring work stays within budget, and optimizing technician schedules to reduce downtime.
Resident & Owner Communication: You’ll be the first line of communication for maintenance-related questions from residents and owners. This means responding quickly, providing clear updates on work order progress, and setting realistic expectations. When estimates are needed, you’ll present options clearly and help guide owners through their decision-making process.
Preventative Maintenance & Inspections: You’ll ensure recurring tasks are completed as scheduled and identify patterns in maintenance issues that could lead to larger problems. By staying proactive, you’ll help prevent emergencies and reduce reactive repairs.
Technology Utilization & Process Compliance: You’ll be expected to fully utilize company tools to coordinate work efficiently. Maintaining accurate records of all maintenance activity is key to staying compliant with company policies and supporting transparency and accountability across the team.

Qualifications
- A high school diploma or equivalent.
- Valid driver’s license required.
- Strong analytical, problem-solving, and communication skills.
- Availability M-F, 8-5, in office.
Desired Skills and Experience:
- Working with a team and leading others.
- Familiarity with real estate investing and/or property management.
- Ability to read and understand a simple property maintenance budget.
- Experience in customer relationship management.
- Digital literacy, including managing multiple simultaneous work order or help tickets.
